Giraffes Can See Everything is a simple way to remember what to give AI before you ask it to help.
- Goal: what you want AI to help you do.
- Context: the role, audience, situation, and tone.
- Source: the notes, thread, document, data, or approved material AI should use.
- Expectations: the format, length, limits, and anything AI should avoid.
AI Fit
All AI. This prompt works well in general-purpose AI assistants when you provide meeting notes. It works especially well in Microsoft 365 Copilot if the transcript, recap, or meeting notes are available and approved for use.
Where To Use It
Use this in Microsoft Teams meeting recap with Copilot, Microsoft 365 Copilot, Copilot Chat, ChatGPT, or another approved workplace AI assistant. If you are pasting notes, remove anything that should not be shared with the tool.
Access Or Licensing Notes
Basic use: any approved AI assistant that can organize notes. Best use: Microsoft 365 Copilot with access to Teams meeting recap, transcript, or notes. Transcript access and Copilot features depend on licensing, meeting settings, and organization policy.

Copy-And-Paste Prompt
Use the GCSE framework to turn these meeting notes into a clear follow-up. GCSE means Goal, Context, Source, and Expectations.
Goal: Identify decisions, action items, owners, deadlines, and open questions from the meeting notes.
Context: Act as my project coordinator. [meeting purpose, your role, audience for the follow-up, and any known deadline]
Source: [paste approved meeting notes, transcript excerpts, or recap]
Expectations:
- Create a concise meeting follow-up.
- Separate decisions, action items, open questions, and risks.
- Put action items in a table with task, owner, due date, and notes.
- If owner or due date is missing, write "not specified."
- Do not invent decisions, owners, or deadlines.
- End with a short draft message I can send to attendees.Make It Yours
Before you run the prompt, fill in the GCSE fields:
Goal: Say whether you need a personal summary, a team follow-up, or an official recap draft.
Context: Give AI a useful role, such as "act as my project coordinator," then explain who attended and who will receive the follow-up.
Source: Paste only notes or transcript content you are allowed to use.
Expectations: Ask for a table, email draft, risk list, or follow-up checklist.
After AI creates the follow-up, confirm every decision and action item before sending it. AI can organize notes, but you are still responsible for accuracy.
Security Reminder
Meeting notes can contain sensitive information. Do not paste confidential, employee-specific, legal, customer, security, or regulated details into an AI tool unless your organization has approved that use.
